Set Up the AI Disclaimer and GDPR Notice
These messages help you:
- Tell guests, clearly and upfront, that answers come from AI.
- Meet the disclosure and privacy requirements that apply to you.
- Link guests straight to your privacy policy or terms of service.
- Speak to guests in their own language, with one message per language.
Where to Find the Settings
Both messages live in your Organization settings, so they apply to every Agent and every chat widget in your Organization.
- Open your Organization settings.
- Select the Chat Settings tab.
- Find the Consent section.
You'll see a Language dropdown and two editors: AI Disclaimer and GDPR Notice.
The Two Messages
AI Disclaimer. This appears at the bottom of the chat widget, just below where guests type, and stays visible the whole time. Even if you leave it blank, the widget shows a default: "AI-generated answers may be incorrect. Verify critical information and use at your own discretion." Customize it to match your own wording.
GDPR Notice. This appears at the top of a new Conversation and fades away after the first few messages. It only shows if you fill it in, so it's the right place for a privacy or data-handling note and a link to your policy.
Format Your Text
Both editors have a toolbar at the top, so you don't need to know any formatting codes. Select the text you want to change, then click a button:
- Bold: select your text and click the bold (B) button.
- Italic: select your text and click the italic (i) button.
-
Link: select your text, click the link button, and enter the address. Links must start with
https://.
That's the full set of formatting you can add. Headings, lists, images, and raw HTML aren't supported, and links open in a new tab.
Set Up the AI Disclaimer
- In the Consent section, pick the language you want to write in from the Language dropdown.
- Type your message in the AI Disclaimer editor.
- Format it with the toolbar buttons if you like (see Format Your Text above).
- Save your changes.
Set Up the GDPR Notice
- With your language selected, type your message in the GDPR Notice editor.
- To link to your privacy policy, select the text you want guests to click, use the link button, and enter your policy URL (it must start with
https://). - Save your changes.
Add Messages in Other Languages
Your guests don't all speak the same language, so you can write a version of each message for every language you support.
- Choose a different language from the Language dropdown.
- Write the AI Disclaimer and GDPR Notice for that language.
- Save, then repeat for each language you need.
You can set messages in nine languages: English, German, French, Portuguese, Italian, Spanish, Dutch, Danish, and Polish. The widget shows the message that matches each guest's language, and falls back to English when a guest's language isn't set up.
What Your Guests See
When a guest opens the chat, the GDPR Notice shows at the top of the Conversation and fades after the first few messages. The AI Disclaimer stays at the bottom, below the message box, for the whole chat.
Both messages are informational. Guests don't have to tick a box or click "accept" to start chatting, and the Agent doesn't record whether they read them.
Good to Know
- These settings apply to your whole Organization. Every Agent and chat widget uses the same messages.
- You're responsible for providing any legally required notices, including disclosures about recording or processing messages and links to your terms of service and privacy policy. The exact requirements depend on where your chat widget is used.
- Changes take effect the next time a guest loads your chat widget.
What's Next
With your consent notices in place, finish setting up the rest of your chat experience:
- Customize Your Chat Widget's Colors, Spinner, and Controls -- tune the chat window's appearance and controls
- Set Up Your Brand Name, Logo, and Colors -- give the chat your brand's look
- Agent Settings to Review Before Going Live -- run through the pre-launch checklist
