Inviting and Managing Users
Where to Find Users
In the sidebar, open Organization and click Users. This is your team list. For finding your way around the rest of the backoffice, see Navigating the Backoffice.
The list shows each person's:
- Name (with their email below it)
- Role (Owner, Manager, or Member)
- Status (Active, or Pending while an invitation is still open)
- Actions (manage permissions, or remove)
There's a search box to filter by name or email, and a quick count of how many users are active versus pending.
Inviting a Team Member
- On the Users page, click Invite User in the top right.
- Enter the person's email address.
- Choose a role under With Role (see the roles below).
- Click Invite.
The person receives an invitation and appears in your list with a Pending status until they accept. Once they do, their status changes to Active.
Roles: Owner, Manager, and Member
Every user has a role that sets what they can do by default:
- Owner: full control of the Organization, including managing other users and all settings. Owners can invite people at any role.
- Manager: can manage Agents, knowledge, and team members within limits. Managers can invite Managers and Members, but not Owners.
- Member: the most limited role, for people who need access without administrative control. Members can't invite others.
A simple rule: you can only grant a role at or below your own. So a Manager can't create an Owner.
Fine-Tuning Permissions
Roles cover most needs, but you can also tailor what an individual can do. Click Permissions next to a user to open their permissions, grouped into areas like Agent Management, Knowledge Management, User Management, and Organization.
Anything a user already gets from their role is shown as read-only there, you adjust roles to change those. On top of that, you can grant specific extra permissions to one person without changing their whole role. This is handy when someone needs one capability beyond their role, without becoming a Manager or Owner.
Removing a User or Canceling an Invitation
- To remove an active user, click the remove (trash) icon in the Actions column.
- To cancel a pending invitation, click the cancel (X) icon on that row.
Either way, you'll be asked to confirm ("Are you sure?") before anything happens. Click Continue to proceed, or Cancel to keep things as they are. Removing a user takes away their access to your Organization.
Good to Know
- New invitations stay Pending until the person accepts; you can cancel a pending invitation at any time.
- You can only assign roles at or below your own.
- Managing users requires the right permission. If you can't see the team list or the invite button, ask an Owner or Manager for access.
