Creating and Managing Places
If you're new to the idea of Places and Resources, start with Understanding Your Agent's Knowledge: Places and Resources. This article is the hands-on guide to managing them.
Where to Find Your Places
In the backoffice, open the Knowledge section in the sidebar and click Places. This is your Places overview, a list of every Place in your Organization.
For each Place, the list shows:
- Place Name
- Place Type (Hotel, Food and Beverage, or Attraction)
- Address (or "N/A" if you didn't add one)
- Updated At (when it last changed)
- Actions (delete)
From here you can create a new Place, open one to edit it or manage its Resources, or delete one you no longer need.
Creating a Place
- On the Places page, click Create Place in the top right.
- Enter a Name. This is how you'll recognize the Place in your lists, so make it clear (for example, your property name).
- Choose a Type:
- Hotel
- Food and Beverage
- Attraction
- (Optional) Add an address using the Country, State / Province, and City fields. The address gives your Agent location context for questions like "where are you located?" You can leave these empty if the Place is just a grouping of knowledge rather than a real venue.
- Set up the knowledge options described below.
- Click Create Place.
When the Place is created, you'll see a confirmation, and any Resources you set up during creation start loading their content right away.
Adding Reviews (Hotel Places)
If you choose the Hotel type, you'll see a Reviews Resource option. Pick your property under Select hotel, and your Agent automatically gets a Reviews Resource built from your TrustYou guest reviews. This is the fastest way to give your Agent real, up-to-date knowledge about your property.
Turning On AI Search
Enable AI Search is on by default. It creates a Place AI Search Resource, which asks the AI to build a short summary of your Place from what it can find online. It's a quick way to give a new Place some starting knowledge.
When AI Search is on, you can add a Place Hint. This is a short text clue that helps the AI find the right place online, like the full address or a description. The more specific the hint, the better the result.
If you'd rather provide all the knowledge yourself, turn AI Search off.
Adding Knowledge During Creation
You don't have to wait until the Place exists to add knowledge. While creating it, you can also:
- Add Website Resources. Give each one a name and a URL, and your Agent reads and refreshes that page automatically. Add as many as you need.
- Add free-form info. Type knowledge directly into the markdown editor. This is handy for notes, policies, or facts that don't live on a website.
You can always add more Resources later. For the full set of options, see Adding a Website Resource and Adding Document and Markdown Resources.
Adding Resources to an Existing Place
Open a Place from the Places list to see its Resources, the knowledge sources attached to it.
- Click Create Resource to add a new one. You can add a Website, Document, Markdown, or Reviews Resource.
- Click Refresh All to pull the latest content for every Resource in the Place at once. This is useful after you've updated several websites or documents.
- Click Download Place to export the Place and its Resources as a file you can reuse.
Editing a Place
Open the Place and click Edit. You can change the:
- Name
- Type
- Address (Country, State / Province, City)
Click Save to apply your changes, or Cancel to discard them.
AI Search and the Place Hint are set when you first create a Place. To change how your Agent gets AI-generated or website knowledge afterward, manage the Resources inside the Place directly.
Assigning a Place to Your Agents
Creating a Place doesn't connect it to an Agent on its own. You assign Places to each Agent separately, and an Agent only uses the knowledge from the Places assigned to it.
The same Place can be assigned to more than one Agent, so you can write knowledge once and reuse it everywhere. Assigning and unassigning takes effect immediately, on the Agent's very next message. For the steps, see Understanding Your Agent's Knowledge: Places and Resources.
Deleting a Place
To delete a Place, click the delete (trash) icon in the Actions column on the Places list.
Note: Deleting a Place happens right away, with no extra confirmation. The Place and the Resources that belong to it are removed, and any Agent that used it loses that knowledge on its next message. If a Place holds knowledge you might want again, export it first with Download Place, or unassign it from your Agents instead of deleting it.
Good to Know
- A Place can be a real venue (with a type and address) or just a container for related knowledge (leave the address empty).
- AI Search and Reviews give a new Place useful knowledge in seconds, so it's worth setting them up at creation.
- One Place can serve many Agents. Reuse Places instead of recreating the same knowledge.
- Website and Reviews Resources refresh on their own. Document and Markdown Resources change only when you update them.
- Deleting a Place is immediate and removes its Resources. Export or unassign when in doubt.
